Privacy Policy
You hand us your license, your credentials, and your work history. Here is exactly what we do with them.
Last updated September 12, 2026
This Privacy Policy explains how Vera (“Vera,” “we,” “us”) collects, uses, shares, and retains personal information when you use veranurse.com and related services (the “Platform”). It applies to nurses who create an account, to visitors who browse the Platform, and to references and facility contacts whose information a nurse provides to us. By using the Platform you agree to the practices described here.
1. What We Collect
Vera exists to place you directly with healthcare facilities. Doing that requires the same information a facility would demand from any staffing agency. We collect only what is needed to verify you, present you to a facility, employ you, and pay you.
Identity and contact
- Legal name and any prior names
- Email address, phone number, and mailing address
- Date of birth, where a facility requires it
- Password, stored only as a salted hash
Professional licensure
- Nursing license numbers, issuing states, and expiration dates
- Compact license status
- Clinical certifications (BLS, ACLS, PALS, and specialty certifications)
- Specialties and years of experience
Credential documents
- Copies of licenses, certifications, and immunization records
- Government-issued identification uploaded for facility onboarding
- Tax and payroll onboarding forms, which may contain your Social Security number or similar identifiers
- Health screening results a facility requires (for example TB and drug screening)
Work history and references
- Employers, facilities, units, dates, and roles
- Skills checklist self-assessments
- Names, titles, and contact details of professional references you provide
- Feedback your references and facilities give about you
Platform activity
- Contracts you view, save, compare, and apply to
- Messages you exchange with Vera’s AI recruiter and our team
- Reviews you write about facilities and units
- Reliability score inputs, such as completed and extended contracts
Technical data
- IP address, browser, and device type
- Session tokens that keep you logged in
- Timestamps of logins and key actions
Sensitive information. Some of what you upload is highly sensitive, including your Social Security number on payroll forms, health screening results, and government identification. We collect these only when required for employment or facility credentialing, and we treat them under the stricter handling described in Section 6.
Information about other people. When you list a reference, you are giving us their name and contact details. Only provide references who have agreed to be contacted on your behalf. We use their information solely to verify your work history.
2. How We Use It
We use your information to:
- Verify your identity and licensure, including checking license numbers against state board records and confirming compact status.
- Match you to contracts, calculate your projected pay, and show you facilities and housing relevant to your specialty and preferences.
- Build and send your submission packet to a facility or its vendor management system when you choose to apply to a contract.
- Employ and pay you as a W-2 employee once you accept a contract, including payroll, tax reporting, benefits enrollment, and workers compensation coverage.
- Maintain your reliability score, which is derived from your completed contracts, extensions, facility feedback, and any walk-offs, and which determines your reliability perks.
- Communicate with you about your applications, contracts, credential expirations, and account, and provide support.
- Operate and improve the Platform, including security monitoring, debugging, and understanding how features are used.
- Meet legal obligations, including employment law, tax law, healthcare credentialing standards, and Joint Commission requirements.
We do not sell your personal information. We do not use your credential documents to train AI models.
4. AI Processing
Vera uses large language models to power the recruiter chat, extract fields from documents you upload, check documents against facility compliance requirements, tailor resumes, and generate weekly briefs. When you use these features, relevant portions of your profile, your messages, and the contents of documents you upload are sent to our AI model provider for processing.
Our provider is contractually restricted from using your data to train its models. Pay figures are deliberately excluded from stored conversation summaries and recruiter notes so that stale numbers are never re-quoted to you as current. AI outputs about you, such as qualification matches or compliance flags, are recommendations that Vera staff or facilities review before any decision is made about your employment.
5. How Long We Keep It
We keep information for as long as your account is active and as long as we are required to by law. Some records must outlive your account:
| Category | Retention |
|---|---|
| Account profile and preferences | Until you delete your account, then removed within 30 days |
| Credential documents in your vault | Until you delete them or your account, except copies attached to a completed submission or employment record |
| Submission packets sent to facilities | Retained for the period healthcare credentialing standards require, currently up to 7 years after the contract ends |
| Payroll, tax, and employment records | Retained as required by federal and state employment and tax law, typically 4 to 7 years |
| Chat and message history | Until you delete your account, then removed within 30 days |
| Facility reviews you have written | Retained in anonymized form after account deletion |
| Server logs and security records | Up to 12 months |
Information already sent to a facility or VMS is under that organization’s control, and deletion on Vera does not remove it from their systems.
6. How We Protect It
All data is encrypted in transit. Uploaded documents are stored in a private bucket that is never publicly accessible and is served only through authenticated, time-limited links. Passwords are stored as salted hashes and are never readable by Vera staff. Session tokens expire after 30 days of inactivity.
Access to credential documents, payroll forms, and health screening results inside Vera is limited to staff who need it to complete a submission or run payroll. No system is perfectly secure. If we discover a breach affecting your information, we will notify you and any regulators as the law requires.
7. Your Rights and Deletion
Regardless of where you live, you can:
- Access and correct your profile, work history, and documents at any time from your profile and vault.
- Export a copy of the information we hold about you.
- Delete individual documents, or your entire account.
- Opt out of non-essential email. Notices about active applications, contracts, and payroll cannot be turned off while you are employed.
How to request deletion
- Email us from the address on your account, or use the details on our contact page, with the subject line “Delete my account.”
- We will confirm your identity, which may involve replying to a verification email.
- Within 30 days we will delete your profile, vault documents, messages, and preferences, and confirm by email.
- We will tell you which records we are legally required to keep (Section 5), and for how long. Those records are locked, no longer used for matching or marketing, and deleted when the retention period ends.
If you live in California, the European Economic Area, the United Kingdom, or another jurisdiction with specific privacy rights, you may have additional rights, including the right to lodge a complaint with your local data protection authority. We will honor those rights on request. We will never retaliate against you for exercising them.
9. Children
The Platform is for licensed nurses and is not directed to anyone under 18. We do not knowingly collect information from minors. If you believe a minor has created an account, contact us and we will remove it.
10. Changes to This Policy
When we change this policy we will update the date at the top of this page. If a change materially reduces your rights or expands how we share your information, we will email account holders before it takes effect.
11. Contact
Questions, access requests, and deletion requests go to the details on our contact page. We respond to privacy requests within 30 days.
